Undergraduate CS Graduation Process
Spring Graduation Timeline
- September: Review your pre-clearance audit packet sent from SEAS Advising and ensure it’s correct.
- October: Meet with your faculty advisor, complete your UAF for your final Spring semester.
- November: Register for Spring courses then apply to graduate through GWeb. Instructions can be found here. This will indicate that you are completing degree requirements and are eligible for degree completion.
- December/January: Check that all degree requirements are being met in Degreemap. Complete either your Elective Declaration form (BA students) or submit a Degreemap export (BS students). See below.
- February: An Early Graduation Packet to be sent to you and your faculty advisor for review.
- Early March: Deadline to apply to graduate.
- May/June: After final grades are posted, a final graduation packet to be sent to the dean’s office for final approval.

BS Process
** NEW** Degreemap Export - New process! (December / January)
The Elective Declaration form will be replaced with a PDF export of your Degreemap. This PDF export should be created after you have registered for Spring courses. To create this export, go to your Degreemap and select the printer icon on the top right corner of your Worksheet. For the majority of students, this will show all requirements as being in-progress/completed.
If there are changes to be made, talk to your faculty advisor. If appropriate, submit a “Course Substitution Form” if there are courses that should be applied to the General Elective areas or towards a specific course requirement. These requests cannot be University requirements as those must be approved through GW. To access the form, go to the SEAS Forms page, then under GW Engineering Online Forms, click on the Undergraduate Forms Portal.
Then you will send this Degreemap PDF export to your faculty advisor for review. Your faculty advisor will review it and send it back to you for corrections or will approve the form and they will directly send it to seasadvisinggwu [dot] edu (seasadvising[at]gwu[dot]edu).
Early Graduation Packet (February)
In early Spring, SEAS Advising will prepare an “Early Graduation Packet” and send it to you and your faculty advisor for review. SEAS Advising will prepare the packet in early spring and send it to you and faculty for review. The packet will include a summary coversheet, curriculum sheet, and transcript. The packet will also include your faculty approved Degreemap PDF export. SEAS will validate that you are still registered for courses that meet the Degreemap requirements, i.e., if you change a tech or general elective you no longer will need to update a form or create a new export since Degreemap will be used for validation.
This Early Graduation Packet will need to be signed by your faculty advisor in the graduating seniors folder in Sharepoint.
Final Graduation Form (End of May / June)
SEAS Advising will update the curriculum sheets and do final grade checks at the end of the semester. No student or faculty advisor signatures are needed. The Dean’s office will review and sign the final copy.
BA Process
CS Elective Declaration Form (December / January)
Fill out and get approval for your Elective Declaration form. The CS BA Elective Declaration form can be found online in the "Forms By Major" section on the SEAS Forms Page. Be sure to select the form with your correct Degree and Curriculum Year (listed in Degreemap, which is typically the year you started at GW).

However, if you change a tech or general elective you will need to update your Electives form with faculty approvals.
